This policy explains how we collect, use, share and protect personal data when you visit our website (casesupport.co.uk), get in touch with us, or receive services from us — including where we support learners on behalf of training providers and colleges.

We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who this policy applies to

This policy covers personal data we collect from:

    • Visitors to our website
    • Enquirers who contact us via our contact form, email or phone
    • Learners who receive mental health support, assistive technology or mentoring arranged through a training provider or college we work with
    • Staff at partner organisations (training providers, colleges, employers) who we liaise with to deliver our services

 

2. The information we collect

Website visitors

    • Technical data such as IP address, browser type, device information and pages visited, collected automatically via cookies and similar technologies (see our Cookie Policy below)

Enquiries and contact form submissions

    • Name, email address, phone number, organisation, and the content of any message you send us via our contact form or by email

Learners receiving our services

Because we deliver mental health support, assistive technology assessments and mentoring, we may process:

    • Contact and identification details (name, date of birth, learner reference)
    • Information about learning needs, disabilities, or health conditions, including mental health information, shared with us by the partner organisation or by the learner directly
    • Session notes, support plans, and records of support delivered
    • Assistive technology requirements and device/equipment records
    • Funding and compliance-related information required by awarding bodies or funding agencies

Information about health, disability and mental health is “special category data” under UK GDPR. We only process this data where we have a valid lawful basis and an additional condition under Article 9 UK GDPR — most commonly because it is necessary for the provision of health/social care or treatment, for reasons of substantial public interest, or because you have given your explicit consent. Where consent is our basis, you can withdraw it at any time by contacting us.

We do not use learner data for marketing purposes.

 

4. Who we share information with

We do not sell personal data. We share information only where necessary, including with:

    • The training provider, college or partner organisation that has engaged us to support a specific learner, so that support can be coordinated and reported on
    • IT and hosting providers, including our website host (Hostinger) and email provider (Microsoft 365), who process data on our behalf under appropriate data processing agreements
    • Booking and communication tools such as Microsoft Bookings, used to schedule meetings
    • Professional advisers (e.g. accountants, solicitors) where necessary
    • Regulators, funding bodies or awarding organisations, where we are required to report on the delivery of funded support
    • Law enforcement or safeguarding authorities, where required by law or where there is a genuine safeguarding concern for a learner’s welfare

Where a supplier processes personal data on our behalf, we have contracts in place requiring them to protect it in line with UK data protection law.

We do not transfer personal data outside the UK except where a service provider we use (such as Microsoft) processes data on servers located outside the UK, in which case appropriate safeguards (such as the UK International Data Transfer Agreement or adequacy regulations) are in place.

 

5. Cookies

Our website uses cookies and similar technologies to make the site work properly, understand how it’s used, and — where you consent — support marketing. When you first visit our site, you’ll see a cookie banner where you can accept, decline, or manage your preferences by category:

We review the data we hold periodically and securely delete or anonymise it once it is no longer needed.

    • Restrict or object to certain processing
    • Data portability for data you’ve provided to us, where processing is based on consent or contract

8. Keeping your information secure

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse, including secure hosting, access controls, and staff training on data handling — particularly given the sensitive nature of the health and disability information we process.

 

9. Children’s data

Some learners we support may be under 18. Where we process data about a learner under 18, we do so on the basis of the arrangement with the relevant training provider or college, who is responsible for ensuring appropriate parental or guardian consent is in place where required, in line with their own safeguarding policies.

 

10. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. The “Last updated” date at the top of this page shows when it was last revised.
